Job Requirements/Description

We are recruiting for a Property Administrator to join our Property Services team based at Charles Street, Glasgow.

The Property team is responsible for the management of a portfolio of 400 properties of various size, predominantly in the Glasgow area and includes general. administration, maintenance workers, technicians, painters and joiners. The Property Administrator will provide administration support to the team as well as providing front line information to staff, managers, supplier and contractors.

Main duties and responsibilities will include:

  • Updating and managing the repairs and maintenance section of Homemaster to include internal, external and landlord repairs.
  • Facilitate the administration process for repairs and maintenance.
  • Liaise with staff teams and management in relation to property repairs and void assessments and repairs.
  • Using the Homemaster system accurately record the repair or void and escalate to internal Maintenance Team.
  • Monitor completion dates with internal, external and landlord contractors and escalate any issues to the relevant person/team.
  • Update the Tracker system with status of void assessment and repair.
  • Notify relevant staff or services to confirm status of property repairs.
  • On receipt of authorised invoices close jobs on Homemaster and input all relevant costs and dates.
  • Ensure forward maintenance is planned. Schedule repairs into Outlook calendar for maintenance team, liaise with tenant to arrange access and confirm if there are any additional considerations.
  • Continuously update Work Orders on Homemaster with applicable information.

We’re looking for someone who has gained Administration experience from working in a busy office environment, coupled with a good working knowledge of MS Office in particular MS Excel. You will be confident managing a busy workload and prioritising tasks, as well as having the confidence to work autonomously. Experience of working in a Housing environment is beneficial.

What you can expect from us

  • The post holder will report to the Property Administration Supervisor.
  • Your normal working hours are 35 per week, worked Monday to Friday.
  • Your usual place of work will be Rosemount Business Park, Charles Street, Glasgow, G21 2QA.
  • Annual leave entitlement of 210 hours holiday (equivalent to 6 weeks) pro rata per year in the first year rising to 280 hours (equivalent to 8 weeks) pro rata per year in the second. This includes public holidays
